ILGA-Europe

ILGA-Europe is an independent, international non-governmental umbrella organisation uniting over 700 organisations from 54 countries across Europe and Central Asia. Working on behalf of these members, they strive for LGBTI people's safety, equality and freedom, and they are a driving force for political, legal and social change. 
 

What was the aim of your implementation?

Before the implementation, ILGA Europe was using different Excel sheets and smaller applications, for each process a different one.  
When starting the implementation in 2017, ILGA Europe wanted to achieve a few things:

  • to create one database for all her contacts
  • registration of donations digitally, offering the possibility to pay using a payment processor 
  • registration of her member organisations
  • registration for the yearly Annual Conference

     

The approach and progress of the project

ILGA-Europe had 2 key users who could help to set up CiviCRM by writing user stories and providing additional information about what ILGA-Europe wanted to achieve. CiviCooP configured CiviCRM based on those user stories. After the key users had tested the software and the feedback was processed again, the configuration was ready to be set live. 
The approach was to do it step by step. Migration of contacts first, followed by donations and event participants. Finally, all membership information was added. Once all this was set up correctly in the test environment, ILGA-Europe could go live. 

What has been CiviCooP's role: before, during and after implementation?

CiviCooP was there when you needed them. The key users could do a lot themselves and were also trained to add configuration themselves. CiviCooP was a welcome partner during the setting up of the system by asking for clarification if a user story was not clear enough; they were also very valuable when the key users came up with a solution for a problem that was not well enough defined. 
Apart from that, they, of course, knew a lot about CiviCRM and how best to use its possibilities. 
Thanks to CiviCooP with her knowledge and advice, we could set up the basic system within 6 months.

Currently, we contact CiviCooP occasionally when we have support questions or when we want to implement new functionality.  A recent project is the support of applications for scholarships. This project was characterized by selecting the correct tools for each user. The applicants could enter their data in a structured way in Drupal Webforms. CiviCRM was used by the ILGA associates to keep track of the process, and the decision makers got their data in tailor made Excel sheets.

What role does CiviCRM play now?

CiviCRM is used for everything we do with our contacts. We record their donations and membership status, we use it to register them for all our events, manage specialised processes like scholarship application, and we send all our newsletters and (bulk)mails to them with CiviCRM. The result is that all the information about the contact is in one place, and can be used to sustain and to grow the relationship.

ILGA-Europe also offers scholarships. The whole application process is done with an integration between Drupal Webforms and CiviCase. 

The integration between the website and CiviCRM for donations, event registration and  membership sign ups is working very well. The display of the members’ list is fed by information from CiviCRM.
